No list of client's telephone numbers, no record of who owes your business money, in fact all your accounts data for the past year missing. All the work you've done on current projects and past projects completely lost. It was all on your computer but now your computer doesn't work. Could your business survive it?<br /><br /><b>Ask yourself the following:</b> <ul style="margin-bottom: 12px;"> <li> How quickly could you get all your clients details again from scratch? <li> How quickly could you recreate all the lost work? <li> How long will your business be out of action if you have to restore even one computer back after a disaster? </ul> This may seem like a rather extreme scenario but it's actually not at all far fetched and worst of all it does happen to someone everyday. What if you're office is flooded or there is a fire? Will your machines survive intact? The result of a computer hard disk failure or virus attack can render you helpless in a shockingly short time. If you're a small business it may be that your data is stored on just one or two machines which leaves you in a particularly vulnerable situation. <br /><br /><h2>Put a backup system and policy in place</h2> Regardless of the number of computers in your business you should seriously consider putting a backup system and company policy in place. There's very little excuse for not having a backup really. All the latest flavours of theWindows operating systems have built-in backup and restore tools. Simply right click on any hard drive and select  Properties' and then the  Tools' option to get access to them. <br /><br />Of course this needs to be done on a regular basis to ensure that your backups are always up to date. If there's just one or two of you in the business and a small amount of new data each week then the policy might be as simple as backing up first thing every Monday or last thing on Friday. <br /><br />It's also a good idea to make copies of the backup files and store them in at least two different locations. Perhaps store one copy at the office and the other at home. There are also many Internet based data storage options available. <br /><br /><h2>Automation and efficiency</h2> One of the biggest problems of course is user forgetfulness or worse, laziness. For this reason it's a good idea to look at ways to automate the process. Again, included with most of the latest operating systems are built-in tools that allow you to schedule the running of your backup process at regular intervals. <br /><br />To be most efficient, backup only data files. You may be able to assume that you do not need to backup your installed programs if the applications can be reloaded from CDs following a site disaster.<br /><br />However, using software that creates a complete backup of your whole system, i.e. operating system, installed software and data can be much more efficient when restoring after a computer disaster. <br /><br /><h2>Keep copies of your most used info</h2> If disaster does strike it is of course preferable to be able to continue doing business while your data is being restored. It's always a good idea to keep a printed paper version of your clients and suppliers contact details. That way at least the communications side of your business need not be completely handicapped.<br /><br /><h2>Prevention and protection</h2> Of course you should always strive to put measures in place to prevent such a disaster from occurring at all. These days computers are under constant risk of attack from virus writers and computer hackers.<br /><br />It is extremely important to ensure that you have installed an anti-virus software package to detect malicious programs in e-mails or on CDs you may need to use. A firewall is also necessary to prevent unauthorised individuals gaining access to your computer.<br /><br />It might also be worth having a chat with your insurance broker to see what protection options are available to your business in case of such a computer failure.<br /><br /><h2>Help is available</h2> If you don't have the time or expertise to implement your own backup processes then perhaps you should consider outsourcing the backup and maintenance of your system to professionals.
